Privacy policy

Data we collect

• Registration data: name, email, phone, company, address, and payment details — collected via our registration partner Checkin.no when you sign up for tickets.
• Accommodation booking data: name, email, customer type, company name, organisation number, selected accommodation location, room type, dates, room count, guest count, price, payment method, booking status, and timestamps.
• Manual accommodation bookings: if The Foundry creates a booking on your behalf, we process the same booking details provided by you, your company, or a member of The Foundry team.
• Schedule notification data: email address if you ask to be notified about schedule updates.
• Speaker information: name, photo, title, and biography of confirmed speakers, published on this site with their consent.

Why we use the data

• To sell and administer tickets for The Foundry.
• To process accommodation bookings, manage room inventory, issue invoices, and send booking confirmations.
• To coordinate confirmed accommodation bookings with the relevant hotel or accommodation partner.
• To respond to questions, handle changes, cancellations, complaints, and support requests.
• To publish speaker and programme information for the event.
• To measure site performance and marketing effectiveness where you have accepted analytics and marketing cookies.

Third parties and processors

Registration and ticket processing is handled by Checkin.no. When you open the registration form, your data is submitted directly to Checkin under their own terms and privacy policy.

Accommodation booking data is stored in our database and may be shared with the relevant accommodation partner where necessary to deliver the stay. We also use service providers to run the booking flow and related operations, including hosting and database providers, Google Sheets for booking administration, and Resend for transactional emails.

We use Google Tag Manager and Google Analytics with consent mode. Analytics and advertising cookies are only used if you accept them in the cookie banner. If you choose essential cookies only, non-essential analytics and advertising storage remains denied.

Legal basis

We process ticket and accommodation booking data on the basis of contract, because the data is necessary to administer your purchase or booking. Invoice and accounting data may also be processed to comply with legal obligations. Speaker data is processed on the basis of consent and/or legitimate interest in promoting the event. Analytics and advertising cookies are processed on the basis of consent.

Retention

Ticket registration data is retained by Checkin for the duration required by Norwegian accounting law. Accommodation booking and invoice-related data is retained for as long as needed to administer the booking, handle follow-up, and comply with accounting and documentation requirements. Operational booking lists used for hotel coordination are cleaned up when they are no longer needed after the event. Speaker data is removed on request or after the event concludes unless we have a legitimate reason to keep archival programme information.

International transfers

Some of our service providers may process data outside Norway or the EEA. Where this happens, we rely on the provider's lawful transfer mechanisms, such as EU Standard Contractual Clauses or other safeguards required under GDPR.

Your rights

Under GDPR, you may have the right to access, correct, delete, restrict, or receive a copy of your personal data, and to object to certain processing. Where processing is based on consent, you can withdraw that consent at any time. Some rights may be limited where we need to keep data to complete a booking, document a transaction, or comply with legal obligations.
